Final Submission Requirements

Important: This section is only for final, post-defence submission of theses and dissertations.

Effective January 1, 2010: Students are expected to submit all theses/dissertations electronically. Approval of the Dean of the Faculty of Graduate Studies is required for non-electronic submissions.

You may be required to submit paper copies to the department head, graduate program advisor, external examiner, and members of your supervisory committee and/or the final examining committee. Please confirm the required number with your research supervisor or graduate program.

Forms

All required forms must be submitted to the Faculty of Graduate Studies before you can be authorized to submit to cIRcle.

Please get the Approval form from your supervisor and submit all forms at the same time.

Delay in Publication of your Thesis

If you want to request a delay in publication of your thesis in the UBC Library's online repository, you must do this before you submit electronically. See Delaying Publication of your Thesis for information and instructions.

Submitting from Off-Campus

While electronic submission does allow you to submit your thesis from off campus, you must continue to check your email after submission so that you can make any required corrections. Your submission is not complete and you will not meet deadlines until your thesis has been approved and you have received an official receipt by email.

Corrections

Submission of a thesis that meets the formatting requirements is your responsibility. Approximately 40% of the theses brought to the Faculty of Graduate Studies for final submission require changes and if the thesis does not meet formatting requirements it cannot be approved. You will be required to make corrections and re-submit the thesis at a later date. Any delay caused by correcting and re-submitting the thesis is your responsibility, and may cause you to miss important deadlines.

You are welcome to bring your thesis to the Faculty of Graduate Studies for a technical review early on in the writing process.

Thesis Receipt

Once the Faculty of Graduate Studies has approved your thesis you will receive official confirmation by email which will be copied to your graduate program. A degree requiring a thesis will not be conferred until the Faculty has issued this receipt.
