Accepting / Activating an Award

Graduate fellowships, scholarships, and awards are paid either through UBC payroll or Student Service Centre. Should students have questions about activating their awards, please direct them to the detailed instructions available in the current student section of our website.

Payroll Awards

Once all activation documents are received by the Faculty of Graduate Studies, we will:

  • fill out a student appointment form
  • forward the original student appointment form to Payroll
  • forward two copies of the student appointment form to the student's graduate program
  • keep one copy of the student appointment form in the student's file in our office

Once the program receives the two copies of the student appointment form, the program should:

  • forward one copy to the student for his/her records
  • keep second copy in student's file, and/or
  • forward another copy to any UBC employee who should have it on file (e.g. supervisor, lab administrator, finance clerk within the department who deals with student appointments, etc.).

Any questions regarding award activation that are not answered on our website, should be directed to the appropriate awards clerk.

SSC Awards

SSC awards are assigned once we receive an award recommendation form. For details on how to recommend a student for an SSC award, see the department recommended awards section. Offers are made to students through the Student Service Centre and the students accept them on-line. All notices of awards are sent to students by email as PDF documents.

To review a student's notice of award, programs can either request a copy from a student, or use the Communications Tracking option in SISC.
